Account & Settings

Where to find your account details, how to sign out, what your access scope controls — plus an honest look at what account management does and doesn’t do yet. About 4 minutes.

Open Settings from the sidebar (under Core), or click your avatar in the top bar and choose Settings.


What’s on the screen

Settings has two sections: Account and Organization.

Account

  • Display name — editable. Type a new name and save to update it immediately.
  • Email — shown read-only. Email changes are handled by your administrator.
  • Role badge — your org-level role (Owner, Admin, or Member).
  • Change password — enter your current password, then your new password (minimum 8 characters), and confirm. Click Update password to apply.
  • Two-factor authentication (2FA) — shown as “Not yet available”. The backend is ready (TOTP enrolment and verification APIs exist) but the in-app enrolment flow is not wired yet. When it ships, it will appear here.

Organization

The Organization tab shows your current org’s name, slug, and plan status.

Members (admin and owner only)

The Members tab lets owners and admins manage the people in your organisation:

  • Invite a member — enter their email address and assign a role (Owner, Admin, or Member).
  • Change a member’s role — click their role badge and choose a new one.
  • Remove a member — removes their access from the org. The action is instant.

Member management is gated on your org role: Members can see the list but cannot change it.


Signing out

Click Sign out on the Settings screen, or open your avatar menu in the top bar and choose Sign out. Either way, you’ll be returned to the sign-in screen.

Tip: Always sign out when you’re done on a shared or public device. Your account scope follows you, so an open session means someone else could see whatever you can see.


Your access scope

Even though Settings is minimal, your account scope is doing real work behind the scenes everywhere you go. KeyOne only ever shows you what your account is permitted to see — KeyChat answers, hub data, and work items are all bounded by your scope. Field rep access to KeyLink is similarly gated by role.

Why two people might see different things

Picture two colleagues opening the same KeyOne:

  • Thandi manages the Western Cape region. When she asks KeyChat about store performance, she sees Western Cape stores — and her hub and work items are filled with the same.
  • Sipho is a field rep assigned to a set of routes. He has access to KeyLink for his stores, and KeyChat answers stay within the accounts he covers.

Neither of them is “missing” anything — each is simply seeing the slice of data their account is scoped to. Same app, same screens, different view, because the underlying scope is different.

If you expected to see something and don’t, that’s almost always a scope or role matter — not a bug, and not a setting you can toggle here. Ask your administrator (or the KeyOne team) to review your access. See How do I… below.


What is not yet available

In the spirit of being straight with you:

  • Email change — you can see your email but cannot change it in-app yet. Contact the KeyOne team.
  • Two-factor authentication (2FA / TOTP) — the enrolment UI is not wired yet. The backend APIs are ready; the in-app flow ships in a future wave. The Settings screen shows an honest “Not yet available” badge rather than a broken flow.
  • Security keys / hardware 2FA — not yet planned.

When you don’t see a control for something, that’s accurate: it genuinely isn’t there yet.


How do I…

  • …reset a forgotten password? Use “Forgot password?” on the sign-in screen. A reset link arrives by email — the link expires in one hour, so use it promptly.
  • …change my password (already signed in)? Settings → SecurityChange password. Enter current password, new password, confirm, and click Update password.
  • …change my display name? Settings → AccountDisplay name → edit → save.
  • …change my email? Not available in-app yet. Contact the KeyOne team.
  • …add 2FA? Not yet available in-app (coming in a future wave). The backend is ready.
  • …get access to data I can’t see? That’s a scope or role change. Ask your administrator or the KeyOne team.
  • …invite, remove, or reassign a teammate? Settings → Members tab (owner or admin role required).
  • …sign out? Settings → Sign out, or avatar menu → Sign out.

Staying secure

A few honest, practical habits — no features implied that don’t exist:

  • Use a strong, unique password for KeyOne, and don’t reuse it elsewhere. A password manager makes this easy.
  • Sign out on shared or public devices every time (see Signing out above).
  • Use SSO if your organisation offers it. If your team signs in with Google or Microsoft, that route inherits your organisation’s own security settings.
  • 2FA enrolment is not yet in the app (backend ready, UI coming). Until it ships, a strong unique password and SSO are your best safeguards.
